There are two ways to upload file attachments:
As attachments from the author's desktop machine
As part of a collection of resources in resource galleries
It is always convenient for authors to upload files as attachments from the author's computer. This convenience, however, comes at a price: MCMS creates a unique entry in the repository for each attachment uploaded. So even if you upload the same image file for five different postings in your website, MCMS creates five different entries of that same image in the database.
For a more efficient way to handle shared files managed by authors, they can be stored in resource galleries. Resource galleries serve as central storage locations for resources. Using the same resource gallery item within postings creates hyperlinks that link to the same entry in the content repository. In this way, the same resource could be used in thousands of postings and MCMS would maintain only one single instance of it.
